As the largest individually-owned and operated computer lab in the Texas Hill Country region, I have developed and implemented the following best practices for my lab and for you, to insure minimal downtime, more stability of the machine and better machine maintainability after the repair. 
 

Minimize Downtime

In a nutshell; downtime if you do not prepare now as outlined below could be from a few days to more than a week. The other advantage is that if I do the repairs in my lab the labor will be capped at $150.00; no additional labor charges. That is only if you have followed the steps below. And I will be happy to walk you through those at no charge if you like. A remote session to set up backups will only cost $32.50.

If you bring your system to me and a failure has happened that requires a system reset, hard drive replacement or computer replacement, I can reduce your downtime drastically if you have taken the following steps. These steps result in a turnaround time between 2 hours and 1 day depending on failure scenario.

Common Catastrophic Failures

There are 2 common catastrophic computer failure scenarios:

  1. The whole system crashes and has to be replaced. Downtime if we prepare now as outlined below = 1 day.
  2. The hard drive crashes but the rest of the system is still ok. Downtime with image on an external drive = less than one day. The system comes up while you are here at the lab. The most time would be 2 hours. If you do not take those steps, downtime could be from a few days to more than a week.

Impact of Preparation on Downtime

Downtime if there is no backup image and you have NOT already purchased recovery media from the computer maker = up to one week or more.

Downtime if there is no backup image and you HAVE already gotten the recovery media from the computer maker = one day.

Faster Recovery after Hard Drive Replacement

To prepare for minimal downtime in case the computer or hard drive ever had to be replaced, this would mean you need to make sure now that you have done or gathered the following:
  1. Please go ahead now and contact your computer manufacturer and order recovery media. It is only $30 to $50 dollars and could save you up to a week or more of downtime. If you need my help to order it please call I will help free of charge.
  2. MS Office 2016® if you are using MS Office®. If you go ahead and buy the subscription I can install it remotely for you if your internet connection is fast enough, and set your Outlook® email up as well. During the purchase you will be setting up a Microsoft Office® account. This is so you can log in and download the program after you buy it. If you already have a Microsoft Office® account you need to make sure you know the email and password to log in and download the software. The time to confirm this is now, not after the machine is down. I cut the labor by 50% at the lab but I charge $150/hour real-time if I have to stop and help with a password and or username recovery.
  3. Your email provider name (who did you get the email address from?) This way I can look up all of the set-up information, port numbers, etc. now so I have it if it is a custom email address.
  4. Your email password.
  5. Any other work-specific programs or recreational programs that are not Microsoft®, along with usernames and passwords if required.
  6. Any financials software; QuickBooks®, TurboTax®, etc.; with any required usernames and passwords.
  7. You will need to purchase a dedicated external hard drive that is 3 times larger than your computer hard drive. I would like to send you the links for the best deals.

Benefit

If all of these things are gathered now it would only be one day of downtime if your current machine crashed unexpectedly.
